What personal information do we collect and what do we do with it?

We collect personal information about you when you sign up for and use our products and services, as well as when you use our websites or other platforms. The types of information we collect and use about you are listed below:

  • Insurance details
  • Name, email, telephone number and other contact details
  • Login details
  • Company details & VAT Registration
  • Bank Account details.
  • Details of quotes you make for jobs
  • Job history
  • Signatures
  • Personal data generated as a result of your use of our services such as comments or records of communications such as emails.
  • We collect personal information about the use of our site to help us analyse site usage and improve our site.

We use this data for the following purposes:

  • For the administration of your account and to provide you with the products and services you have requested from us
  • To reduce risk by ensuring, for example, transport providers are appropriately insured.
  • To conduct necessary checks with appropriate credit reference agencies if you request credit on your Movex account.
  • To contact you about jobs which have been listed on the site.
  • We may retain and use certain personal data for audit purposes.
  • We use your personal information on occasion to send you marketing communications.

Legal basis for processing

We process your personal information using the legal grounds set out below:

  • Where we process your personal information for the purpose of administering your account and providing you with the products and services you requested, we do so on the basis of the processing being necessary for the performance of a contract between Movex and you.
  • Where we process your personal information for the purpose of sending you marketing or web analytics, we do so on the basis of you having provided opt in consent (or, in the case of email and text marketing, that you have not opted out of receiving such marketing).
  • We may disclose your personal information to the Police or other investigative bodies if required to do so by law.
  • Where we process your personal information for any other purpose, we do so on the grounds that it is in our legitimate interest to do so. Based on the nature of the information we collect and the purposes for which we use it, we do not consider that these pose any risk to the users of our site that would outweigh those interests. In particular because we do not collect any highly sensitive personal information nor do we use it in particularly intrusive ways.

Who your personal information may be disclosed to

Your personal information will be shared with the following recipients:

  • Our employees and employees of any of our suppliers where necessary to ensure the provision of the products or services you have requested.
  • To the police or other law enforcement or investigative bodies where necessary to support them in the investigation of criminal or similar matters or if required by law or in connection with any Notice of Intention to Prosecute relating to parking, speeding or other motoring offences.
  • To Finch Commercial Insurance Brokers Ltd where you decide to fill out the enquiry form enabling us to do so.
  • We may share your personal information with other members of the CAEU group to enable us to have a complete oversight of our customers.
  • We may share personal data relating to the parties to any job if necessary to enable them to resolve any disputes.
  • To our parent company Cox Automotive Inc (CAI) where necessary to support with the identification, investigation and remediation of security incidents.

International Transfers of personal information

We may transfer your personal information outside of the UK to the territories and organisations listed below:

  • Cox Automotive Inc (CAI) our US parent company and we rely on standard contractual clauses as a lawful safeguard for this transfer.

Your rights in relation to your personal information

You have the right to:

  • Object to the processing of your personal data in certain circumstances.
  • Object to the use of your personal information for direct marketing purposes.
  • Request the deletion of your personal data in certain circumstances.

 

To request for your data to be deleted, please head to www.movex.co.uk/contact and select ‘I would like to request for my data to be deleted from the Movex platform’ from the dropdown list. Please specify your name, contact details and username.

These are the details that will be permanently deleted:

  • Account Username
  • Contact Name
  • Contact Date of Birth
  • Contact Address
  • Registered Business Address
  • All emails provided for correspondence
  • Contact landline and mobile phone numbers along with IMEI numbers
  • Partner name and contact email, landline and mobile phone numbers
  • Bank details

 

  • Name and company position of the person agreeing to the Movex compliance information
  • Request access to the personal information we hold about you.
  • Request that we rectify inaccurate personal information we hold about you.
  • Restrict the way in which we can use your personal information in certain circumstances.
  • Request the portability of your data in certain circumstances.
  • You have the right, where personal information is processed on the basis of consent, to withdraw that consent at any time.

 

If you are unhappy with the way in which we have handled your personal information you have the right to lodge a complaint with the Information Commissioner’s Office. You can contact them at Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF or online at www.ico.org.uk.

Retention & disposal of personal information

We will retain your personal information for as long as we require it in order to provide you with the products and services you have requested. We will retain certain personal information beyond that point where it is necessary for compliance with a legal obligation we are subjected to or where we have a legitimate business reason to do so. In the vast majority of cases, your information will not be retained for longer than 7 years in order to comply with finance and accounting laws.

Automated decision making

We do not undertake any automated decision making using personal information we collect about you.
